How this website handles your information

What we collect

• Membership applications — the details you enter on the join form. They are visible only to club administrators and recruitment reviewers.
• Contact messages — your name, email and message, visible only to club administrators.
• Event registrations — your name, email and (optionally) student ID and department, visible only to event organisers.
• Member accounts — for members who sign in to the portal. Profiles are private unless the member or an administrator makes them public.

What we never publish

Student IDs, phone numbers, private email addresses, application answers and internal review notes are never shown on public pages.

Visitor counts

The site counts visitors and page views without cookies and without storing IP addresses. To avoid counting the same person twice in a day, your network address and browser are combined with a random value that is deleted at the end of each day, so visits cannot be traced back to you or linked across days. If your browser sends “Do Not Track” or Global Privacy Control, you are not counted. Security features (rate limiting) store a one-way hash of your network address for a short time to stop abuse.

Signing in to the portals

When you sign in or out of the member portal or the admin area, the club records the time, your IP address and your device, browser and operating system, so administrators can spot misuse of accounts. Failed sign-in attempts are recorded the same way. Only administrators can see these records, and they are deleted after 180 days.

Cookies

A session cookie is set only when you sign in to the member portal. Spam protection may use Cloudflare Turnstile on forms.
